Privacy Policy

What this policy covers

This policy covers the ProSimulo AI Data beta website and the ProSimulo AI Data service, including use through ChatGPT. It describes the information the application actually processes today, why that information is used, who can receive it, how long it remains, and the controls currently available.

Information ProSimulo processes

Depending on how you use the service, ProSimulo may process:

  • Account, profile and authentication information, including email address, display name, authenticated user identity, account, subscription and access state, and authentication or account-operation information.
  • AI Data Items, Records, Item descriptions and profile data, tasks, structured Record data, original Record input, Record content, source and provenance information, Record corrections and version history.
  • Attachments, including uploaded file bytes, original filename, MIME type, size, caption, captured date or provenance, hashes, storage-location metadata, links to Items, Records or tasks, and archive or delete state.
  • AI Data conversation-associated information explicitly sent to the application for a requested AI Data operation, including selected questions and answers recorded for AI Data, source references, related Record IDs, related Item information, and associated metadata and provenance. ProSimulo does not independently retrieve or reconstruct your entire ChatGPT conversation history.
  • Monitoring and reminder information, including monitoring rules, dates, meter targets, components, conditions, source Record or provenance information, and reminder state.
  • Notification preferences, notification title, body and context, read, dismissed or snoozed state, delivery attempts and provider outcomes, optional email delivery state, and, when push notifications are enabled, push-subscription endpoint or key material and delivery state.
  • Sharing, invitations and access information, including memberships, invited email addresses, roles, ownership and access changes.
  • Operational, audit and security information needed to run the service, including audit events, timestamps, request and retry records, deletion-coordination information, temporary authorization and workflow records, pending review and confirmation state, staged Record candidates, and conversation-routing information required for application operation.
  • Beta access requests, request notes, access decisions, and reviewer or test-account administration where applicable.
  • Customer story submissions, including submitter email, public display name, submitted story title and body, publication consent, and moderation or publication state.

How the information is used

ProSimulo uses this information to:

  • Create, authenticate and administer accounts.
  • Store, retrieve, organize, analyze and change AI Data at your request.
  • Enforce authorization and sharing.
  • Operate Record Review, confirmation and reliable write workflows.
  • Provide reminders and notifications.
  • Provide exports of supported Item data.
  • Maintain security, integrity, auditability and reliable retry or reconciliation behavior.
  • Administer beta access.
  • Provide support.
  • Moderate or publish customer stories when publication consent was provided.

When information is shared

ProSimulo shares information only as needed to operate the service:

  • Infrastructure and service providers that host authentication, database, storage, application runtime, email or push delivery, as described under Service providers.
  • OpenAI/ChatGPT when you use ProSimulo AI Data through ChatGPT. This does not mean your entire ChatGPT conversation is transferred to ProSimulo.
  • People you explicitly authorize through Item sharing.
  • ProSimulo administrative and support access where required to operate, secure, support or administer the service.

ChatGPT and AI Data conversations

ChatGPT itself is governed by OpenAI's terms and privacy practices. When you use ProSimulo AI Data through ChatGPT, ProSimulo receives the information ChatGPT sends to the application for the requested AI Data action. ProSimulo can store selected AI Data question, answer and provenance information as part of the managed AI Data service. ProSimulo does not independently retrieve or reconstruct your entire ChatGPT conversation history. Stopping use of ChatGPT or disconnecting the integration does not itself delete information already stored in ProSimulo.

Retention and deletion

There is currently no single fixed automatic deletion period for ordinary stored AI Data. Retention follows the Item, attachment, notification, workflow and account lifecycle described here rather than a general automatic purge schedule.

Active Items

Active AI Data remains stored while the Item and account remain in use unless a supported deletion operation removes it.

Archived Items

Archive is not deletion. Archived Items and their related information remain stored and can be restored or later deleted.

Record corrections

Record correction and versioning can preserve prior Record versions while the Item exists. Editing a Record does not necessarily erase its prior version or history.

Item deletion

Deleting an Item uses the supported confirmed deletion workflow. Item-bound information is removed through that workflow, including, as applicable, Records, tasks, attachment metadata, Item-bound conversation turns, audit events, monitoring rules, notifications and notification delivery attempts, invitations, and other Item-bound operational state. Attachment file bytes are removed separately through the existing storage-cleanup workflow. Limited operational deletion-request or receipt information may remain after underlying Item content is removed. Deletion is not promised to be instantaneous.

Attachment archive versus deletion

Archiving an attachment is not deletion. An archived attachment remains stored. The supported attachment deletion workflow removes attachment metadata and storage bytes and retains only the operational information required by the deletion workflow while its parent Item or account remains.

Notifications

Read, dismiss and snooze are state changes, not deletion. Notification information can remain while the associated Item or account remains. Notification preferences and push-subscription information remain account data until they are changed, revoked, or removed through the applicable Item or account lifecycle.

Temporary authorization and workflow records

Some temporary authorization and workflow records have expiration controls that end their operational validity. Expiration does not necessarily mean immediate physical erasure; records may remain until they are replaced, cleaned up through normal operations, or removed with the related Item or account.

Account deletion

The public product does not currently provide a self-service Delete Account button. Account-level deletion is currently an administrative process initiated by emailing support@prosimulo.com. Current administrative account-deletion tooling can delete an ordinary non-admin-target account after owned Items are deleted, associated attachment storage is cleaned, pending deletion workflows are complete, and unsafe shared or cross-user dependencies are resolved. The authenticated user is then deleted. Account deletion is not instantaneous and is not promised to complete by a fixed deadline. Shared or cross-user dependencies may need to be resolved before account deletion can complete.

Beta access requests

Beta access-request records have no fixed automatic deletion period in the current beta and remain for beta administration unless they are administratively removed. Account deletion does not automatically erase the original beta access request.

Customer story submissions

Customer story submissions are retained for moderation and publication administration until they are administratively removed. Deleting an account does not automatically delete an already submitted customer story. You may contact support@prosimulo.com to request withdrawal or removal.

Service-provider backups and logs

After active application data is removed, residual copies in service-provider backups or operational logs may persist according to those providers' applicable retention processes.

Your controls

Where the product currently supports them, you can:

  • Update your display name or profile.
  • Export supported Item data.
  • Archive Items and restore archived Items.
  • Delete Items through the supported confirmed workflow.
  • Archive or delete attachments through supported workflows.
  • Manage sharing invitations and roles where authorized.
  • Remove members or revoke invitations where authorized.
  • Transfer Item ownership where authorized.
  • Change notification preferences.
  • Mark notifications read, dismiss notifications, or snooze notifications. Dismissing a notification does not delete it.
  • Disable push notifications.
  • Request account-level deletion through support@prosimulo.com.

Archiving an Item or attachment does not delete it. There is currently no self-service account-deletion control in the public product.

Beta access requests and customer stories

Beta access-request information, including request notes and access decisions, is used to administer the private beta. Do not place passwords, payment information, private documents or unrelated sensitive information in the access-request form. Those records remain for beta administration unless administratively removed and are not automatically erased when an account is later deleted.

If you submit a customer story, ProSimulo processes the submitter email, public display name, story title and body, publication consent, and moderation or publication state. Stories are retained for moderation and publication administration until administratively removed. Contact support if you want to request withdrawal or removal of a submitted story.

Service providers

The beta uses hosted infrastructure including Supabase for authentication, database and attachment or storage infrastructure, Vercel for application hosting and runtime, configured email delivery services when email is used, and configured push-delivery infrastructure when push notifications are enabled. When you use ProSimulo AI Data through ChatGPT, OpenAI/ChatGPT also receives the information needed for that integration, and your use of ChatGPT is governed by OpenAI's applicable terms and privacy practices.
